To all facility staff,
As you all know, the work you and we do can be stressful at times. We are trying to devise a plan to work smarter together instead of working harder. In an effort to ease the workload and stress for both parties and to better serve the consumers there are several topics we feel that should be addressed:
  • Rapps has a dedicated phone and fax line for Teams
    • Phone: 908-821-9888
    • Fax: 908-755-1713
  • Cycle Medications
    • Monthly cycle meds & MARS will be sent 1 week in advance
    • Double check as soon as possible and before start of cycle 
    • Call Rapps immediately if there is something different from what you were expecting 
    • Copies of prescriptions will be inside the bag with medication deliveries
    • E-scripts sent to us will be provided to you when we provide the medications
    • If patient has less than 4 days of medication left and no medications are sent please contact us immediately. Do not wait till the last minute. This will jeopardize the patient to be without medication. 
  • New Scripts
    • Copies of new prescriptions should be given to us immediately for use or to be placed on hold
    • When new prescriptions are faxed, original prescriptions must be given to the delivery driver when medications are delivered
    • If a new prescription is given and it is not covered and it is expensive, we will contact the home to get authorization for filling
    • If a new prescription is sent to the wrong pharmacy and that pharmacy delivers the medication, please do not accept it. We will transfer the medication from the other pharmacy and provide it. 
    • Rule of Thumb, if you do not receive the patients’ medications within 24-36 hours after faxing, please call us
  • Refills
    • Our staff makes several attempts (through faxes, e-faxes and telephone calls) to obtain refills before delivery of cycle medications are made
    • If there is no response from the doctor by the time we send the medication, then a note will be placed on the outside of the patient’s bag indicating which medication needs refills 
    • Do not wait until the last moment to ask for emergency supply of medications, this may jeopardize patient to be without medications. Example the night before they run out of the medication. 
  • Deliveries
    • Same day delivery cut off time is 4:00 pm
    • If something is needed the same night, give us a call and we will have an emergency driver come for delivery
    • Whenever there is a change in medication and a re-pack is necessary the old pack of medications must be returned when the new pack is delivered. 
  • MARS and Medsheets
    • If MARS has any information that is not what you are expecting please make a copy of a page write the change on the copy and fax it to us we will change it in the system. If problem continues ask for Chai or Hitesh. 
  • Miscellaneous
    • Rapps should be notified as soon as possible if a patient is hospitalized or no longer part of your organization (it is insurance fraud to fill medications for patients who are in the hospital or have left the organization)
    • If there are medications missing for a certain date please let us know and we will provide them. If there is an emergency another dates meds may be used and we should be notified so we can provide the medications for the missing date
